Understanding that many bookstores utilize a central receiving and storage location, MBS Systems has designed an application that allows stores to process shipments through the warehouse, create distribution shipments to the retail locations, and manage the inventory kept in the warehouse down to the exact shelf position where it’s stored. The application comes with a full suite of pre-defined reports that can be run on demand by authorized users. These reports include the history of receiving into and shipments out of the warehouse, inventory adjustments, etc.

With your valuable inventory residing outside of the store, it’s critical that your software provide you with the tools necessary to locate, track, and account for the remote stock at any time. When setting up the MBS Systems Warehouse Management application, you define the storage space and organization of the warehouse down to a specific bin, as well as setting the maximum storage available within that position. This initial facility-specific configuration makes it so that receiving personnel will be alerted if more product is received than the space allows for. When shipments are received, the processing includes the put-away destinations for the goods, greatly streamlining the shelving process.

Analyzing Store Inventories
As the central restocking point for much of the product for the bookstore(s), the Warehouse Management application must be able to analyze inventory and sales at the various stores and then provide suggested replenishment shipments based upon that information. The MBS Warehouse Management application can accomplish this task in two ways.

1. By using the "Min/Max" or "Basic" item designation on product, the warehouse can evaluate an individual store's inventory level and, if below the minimum designated, add this to the suggested replenishment from the warehouse inventory. These routines can be run on a daily basis with a predefined priority for multiple-store environments.
2. Warehouse personnel can define replenishment orders manually. These on-demand routines can be run at the store, department, structure, or vendor level. This allows for replenishment of an entire store or just for selected areas.

Managing Distribution
Once the replenishment orders have been generated, warehouse staff must fill them quickly and send stock out to the bookstore(s). Our application provides staff with detailed picking lists that include the amount of product to be included in the order, the converting unit of measure (the warehouse stocks in cases, but the store orders in individual units), and the locations of the products. The system will initiate the transfer once the outgoing shipment has been verified by the warehouse. The inventory will be considered “Pending Transfer” until the destination store receives the transfer. Once the receiving has been completed and posted, the inventory will be relieved in the warehouse and placed in the on-hand at the store.

Adjustments and Audit Trail
As with the bookstore itself, the warehouse must be inventoried on a periodic or annual basis. Our Warehouse Management software is fully integrated with the Physical Inventory application so that warehouse staff can perform cycle or full inventories of the facility. Adjustments to the on-hand inventory can be made easily, and these will flow through to the stock ledger for the warehouse/company.
